Accessing Imperial Profiles

 I’m not an academic and I don’t do any research – can I still have an Imperial Profile?

Yes, non-academic staff or researchers, like Professional services staff, can have an Imperial Profile. If you already have a PWP your data will be migrated over to the new Imperial Profile system for you. 

If you do not have a PWP or Profile, we recommend waiting for the migration work to complete and then set one up in the new profile system.

All Academic staff and PhD students will have their Imperial Profile made public facing by default. All Professional Services staff (non-academics) will have their Imperial Profiles set as Internal by default – so will not show to the public.  

You can change who sees your profile by changing the settings within your Symplectic account to make them public or internal facing..  Training is coming soon.

I don’t know how to edit my Imperial Profile.

Don’t worry we will provide all the training you need on the new Imperial Profile system. Training and guidance are coming soon.

I have a PWP, but I no longer require it, what shall I do?

If you do not want your current PWP to be active and searchable then you can switch visibility to ‘No’ in the Administration tab on your PWP. You can find out how to do this on our PWP training pages.

You will also be able to switch off visibility in the new Imperial Profile system by changing your Profile Privacy Level to Internal - meaning it won't be visible to the public.

My Imperial Profile looks different to what I expected

Why doesn’t my migrated Imperial Profile text and/or images look right? 

As part of the migration some things have changed, there is no longer a rich text editor in the CMS and therefore you may see some text in your About section has lost its formatting.

Hyperlinks will no longer work in the About section and therefore you should add any Affiliations links to the sidebar. 

You can go in and edit your Imperial Profile to improve the formatting. Training and guidance are coming soon.

Why can’t I add new documents or update my migrated documents in my new Imperial Profile?

As part of the migration some things have changed, there is no longer a document upload feature and therefore you cannot add new documents. However, any documents that were in your previous PWP will still show in your new Profile, but you won’t be able to update the migrated documents in the new CMS.

If you need to delete a document from your Imperial Profile contact the ICT Service Desk.

Where can I find my Professional Activities in my new Imperial Profile?

You will find Professional Activities in the new Professional Experience section. However, your Course/Module has been moved to the Teaching Activities section, and will be available under the Teaching tab.

You can now manually update this content in your Imperial Profile. Trainng and guidance are coming soon.

Why are my teaching activities not automatically feeding into the Teaching tab via DSS anymore?

The Business School and departments in the Faculty of Natural Science and the Faculty of Engineering were using the Departmental Student System (DSS) data to populate their old PWPs with teaching activities, but DSS is now unsupported and therefore is no longer a reliable source of data. 

DSS is also due to be decommissioned and therefore it is a good time to remove this from the new Imperial Profiles.

The Faculty of Medicine and some other departments are already using Symplectic to update their professional activities and course information.

In the new system you will be able to manually update records via symplectic, which will populate a new Teaching tab. Training is coming soon.

Requesting new features

Imperial Profiles does not have all the features and functionality that I need.

Imperial Profiles will be worked on iteratively, with upgrades and new features being added on a rolling basis by ICT. The project team have gathered a number of initial requirements from your Faculty Web Officers who have been representing you. These requirements will be reviewed and prioritised alongside this and other work priorities.

Accessing the old PWP

Can I keep my old PWP as it is now?

Your PWP data will be migrated to the new Imperial Profile system for you. The old PWP will be removed from the public to see and eventually deleted.

Your PWP data will be kept by ICT for a couple of months after we go live with the new Imperial Profiles system, just in case you need to access it.

Can I get my old PWP data as a file? 

Your PWP data will be migrated to the new Imperial Profiles system for you, but if you require the data for any other reason after the migration, you can access the old PWP database and retrieve your content. This will be available for a few months after the migration.

I don’t like the new Imperial Profile format – can I make my own webpage? 

We do not support individual webpages and we encourage all staff to utilise the features and functionality of the new Imperial Profiles system, that will help you benefit from improved SEO and collaboration. Read more about the benefits.
